To organize and respond promptly, we will categorize similar questions and post to the FAQs tab on OR-Kids Online. While individual replies will not be sent, our goal is to address questions through OR-Kids FAQs. Thank you for your participation!

  1. Are all supervisors automatically assigned to all of the cases that are assigned to the workers to which they supervise?
  2. Are form numbers changing?
  3. Can a worker cancel a piece of work that has been submitted for supervisor approval before it is approved by a supervisor?

  47. Will we ever be able to set up our own ticklers in OR-Kids?

  1. Are all supervisors automatically assigned to all of the cases that are assigned to the workers to which they supervise?
    No, while supervisors can see all of the cases that are assigned to the workers that they supervise, they themselves are not automatically assigned to the case unless they self-assign.   

  2. Are form numbers changing?

    Some will be changing and some will remain the same. For more information, please refer to the list of forms posted on OR-Kids Online.

  3. Can a worker cancel a piece of work that has been submitted for supervisor approval before it is approved by a supervisor?

    Yes, a worker can recall/return a piece of work submitted for supervisor approval before the supervisor approves the piece of work. Using the approval selection under the dropdown menu will allow the worker to recall/return the piece of work. If a worker has forgotten that a piece of work was submitted for approval and adds additional information to it, a pop up window will display, indicating a change has been made and asking if changes need to be saved.

  4. Can Meeting Scheduler be linked with electronic calendars?

    The Meetings page in OR-Kids can generate an email notice to any Child Welfare staff invited to the meeting. That email can be changed to an appointment in GroupWise or Outlook so that it appears on the electronic calendar. Consult your OIS Technical Support staff for questions about how to convert an email to an appointment.

  5. Can the same TCM activity be selected multiple times in a row for the same child?
    OR-Kids does not contain any edits to prevent the worker from using the same TCM service category and activity every month; however, we are requiring that the case worker type additional narrative to explain the canned TCM activity.

  6. Can we access any FACIS functionality after the OR-Kids implementation?

    FACIS will be available as 'read-only' for reference purposes.

  7. Can we access any IIS functionality after the OR-Kids implementation?

    IIS will be available as 'read-only' for reference purposes.

  8. Can we make OR-Kids send email notifications to other workers "on-demand"?

    No, OR-Kids email notifications, known as automated messages, are generated by specific actions that take place in the system. One exception is that Case Notes do have a checkbox available to supervisors that will send an email notification to the primary caseworker.

  9. How are 'Closed Case Records' displayed in OR-Kids?

    Closed case record information can be accessed from the Status and Closing History tab of the Maintain Case page. A hyperlink in the Case History group box will take the user to the Case Closure page which will provide a closure summary in addition to closure date and reason.

  10. How does the system direct workers to ensure all information needed to complete work has been captured in OR-Kids?
    There are error messages that will appear when information is missing. Those error messages will not only tell you what is missing, but from where it is missing.

  11. How does the worker know which fields on a form need user entry directly on the form?

    When you generate a form in OR-Kids, you can use the Tab key on the keyboard to navigate to the next available user entered field. You can also click with your mouse on a field to see if you can place the cursor in that field.

  12. How will approval request display in OR-Kids?
    Approvals in OR-Kids are listed in descending order, from newest to oldest and clearly indicate the piece of work to which they are attached.

  13. How will OR-Kids find the worker’s address to pre-fill form headers with that information and how does it get updated when a worker changes their location?

    Each worker has a profile page in OR-Kids that includes branch assignment. OR-Kids uses the branch location to pre-fill the branch address into form headers. If a worker changes branches, office managers will update the worker profile page. If a branch changes addresses, central office staff will update the system.

  14. How will Payroll be accessed?

    Payroll is not part of IIS. It is accessed through mainframe screens just like IIS is, so it appears to be the same system. The Payroll and other non-IIS mainframe screens will still be available to everyone.

  15. How will we access Client Index?

    OR-Kids has an interface to Client Index that is used in the Search functionality.

  16. How will sensitive cases work?

    Sensitive cases will work the same way as they do now with the supervisor having authority to allow access to a case that is sensitive. There is no limitation to the number of workers who can be assigned to a sensitive case.

  17. Is it possible for SSAs, through secondary assignment to a case, to see the Case Progress Evaluation tickler set for 90-days from creation to assist with visitation staffings which could be managed in relation to this tickler?

    Ticklers will only be sent to the primary worker responsible for the piece of work for which the tickler has been created. It would be the primary case worker’s responsibility to communicate with their assigned SSA the need to conduct the visitation staffing which is coming due.

  18. Is it possible to copy/paste information with OR-Kids?

    Yes, information can be copied/pasted from other sources into OR-Kids and from OR-Kids into other sources.

  19. Is it possible to print checklists from OR-Kids?

    Yes, you can print checklists by selecting the print button on the OR-Kids banner bar at the top of the page.

  20. Is it possible to login to more than one session of OR-Kids at any given time?
    While it is possible for one person to log in multiple times or different people to log into the system from multiple locations, it is not advisable. In the live environment, there would be no impact if different people went into the same case.

  21. Is the placement form also going to be the BRS form?

    Yes, the Placement Information Form in OR-Kids can be used for all types of placements.

  22. Is there a possibility of attaching a PDF file to a meeting page when the notes are handwritten?
    No, you cannot attach a document directly to the meeting.  You can save the document to the file cabinet, and then enter a case note about the meeting.  In the case note, you can attach the file cabinet document to that the two are clearly associated with each other.

  23. Is there a way to sort or prioritize ticklers?

    No, ticklers will appear on the desktop sorted by case name and then by due date. They cannot be sorted by any other parameters by the user.

  24. What pieces of work drive Ticklers, to whom are ticklers sent and what are the time frames associated with each Tickler?

    A complete list of Ticklers, including their purpose, the worker to whom they are assigned, how they are created/deleted and the time frames for due dates can be found on the OR-Kids website under Quick Reference Guides on the OR-Kids Training website.

  25. When Batch Processing occurs, will it affect our ability to access the system after hours?

    No, the process of processing data behind the scenes, known as Batch Processing, is designed to not prevent users from working in OR-Kids at the same time.

  26. When FACIS becomes Read-Only, will we be able to copy, paste and print information from that system?
    Yes, you will have the ability to copy and paste information from FACIS into OR-Kids; however, FACIS print capability will be very limited.

  27. When is the OR-Kids implementation?

    The implementation date will be determined after we see how the system performs in pilot. Pilot is starting April 19. Please see this message from Erinn Kelley-Siel for more information.

  28. Where does OR-Kids display the client’s need for receiving information in an alternate format?

    Similar to FACIS, OR-Kids displays the Alternate Format request on the Person Management page. Additionally, OR-Kids allows the user to enter a narrative value not contained in the standard list of alternate formats.

  29. Who can give access to sensitive cases?

    Only supervisors/management level can give access to sensitive cases initially; however, after the sensitive case is assigned, anyone with assignment privileges can assign the case to other users.

  30. Who will enter all of the AFCARS information into OR-Kids?
    AFCARS information is entered at various points along the life of a case based on who is assigned to that particular piece of work. In addition, any supervisor can access any case and update AFCARS values.

  31. Will a participant’s ID number match their MMIS prime number? How will they display on a temporary medical card?

    The OR-Kids participant ID number will not be the same as a client’s MMIS prime number. The temporary medical card, known as the DMAP Temporary Medical Care Identification form, will display the OR-Kids case number in the top right header with the worker’s information and the prime number will display below the participant’s name in field 4. The OR-Kids participant ID number will not display on the form.

  32. Will all this information switch/carry over when OR-Kids goes live or will workers have to input this for all their cases?

    Most information will be converted out of our legacy systems and into OR-Kids; however, some parts of the system will have minimal information that needs to be entered at OR-Kids go-live.

  33. Will Case History contain conversion codes?

    Most work converted into OR-Kids will appear the same as the work you complete in OR-Kids. There will be some values identified just for conversion that are there to help preserve the accuracy of historical data, but they display as descriptive text not as codes.

  34. Will community partners have access to schedule meetings?

    Only staff with access to log into OR-Kids will be able to schedule meetings. Currently there is not a plan for community partners to have access to OR-Kids.

  35. Will DCS data display in the retrieval search?
    Yes, In the Case Information group box information is listed by department: Each Type (person case role), Case Number, Person Letter, and Dept. (AFS/SCF/DCS, etc.)

  36. Will Mobius be the reporting system for OR-Kids?

    No, OR-Kids reporting will be handled through a new reporting application called MSSRS. More information will be provided soon about how to access reports using this new tool.

  37. Will OR-Kids be available via Citrix?

    Yes, if you have supervisor approval to access Citrix.

  38. Will OR-Kids change how we are notified of Enhanced Supervision (CANS) assessment results?

    Yes, Enhanced Supervision assessments will be completed in OR-Kids and the results will be available within the case record once the assessment is completed.

  39. Will OR-Kids generate forms in other languages?

    No, at this time forms in OR-Kids are generated in English only. Forms can be translated through translation services.

  40. Will OR-Kids interface with other states using SACWIS?

    No, at this time there is not an interstate interface between SACWIS systems.

  41. Will OR-Kids interface with the Division of Child Support (DCS)?
    Yes, OR-Kids has a two-way interface with DCS and will pull in information regarding child support benefits and also write information regarding our custody dates and TPR efforts.

  42. Will OR-Kids lose any federal funding based on the implementation date?

    OR-Kids is being funded in part with federal dollars due to the commitment of the state to develop a system that is federally compliant. There is no federal penalty related to timing of implementation as long as coordination with ACF, our federal partner, takes place. The project is in constant communication with ACF and they are aware of and support proposed project schedule changes.

  43. Will OR-Kids prevent workers from entering the same TCM activity two months in a row?

    No, OR-Kids does not have a frequency limitation on the selection of TCM categories and types.

  44. Will Random Moments be in OR-Kids?

    No, Random Moments will continue to be completed the same way they are currently.

  45. Will there be a system freeze before implementation?

    The legacy systems (IIS, FACIS, ARMS, and CANS etc.) will be frozen while the data is being converted to OR-Kids just before Implementation. It has not yet been determined how long this period will be but we are attempting to make it as short as possible.

  46. Will volunteers or other non-agency workers be able to access OR-Kids without an Employee ID Number?

    OR-Kids requires either an Oregon Employee ID Number or Partner ID Number. Office Managers need to request Partner ID Numbers for volunteers, interns and other non-state workers who will need access to OR-Kids.

  47. Will we ever be able to set up our own ticklers in OR-Kids?
    Ticklers are preset by the system and non-editable by the user.   Future changes and enhancements to OR-Kids will have to be assessed when we get into Operations and Maintenance.
